To edit the Participants Database, you must be logged in as MembershipChair or Treasurer.
Note: To toggle between viewing the site and using the admin Dashboard menu, click on PebbleCreek Democratic Club in the upper-left corner.
Add new member record
1. Select Participants Database/Add Participant.
2. Complete form.
3. Submit form.
Edit member record
1. Select Participants Database/List Participant.
2. Locate record to be edited.
3. Click pencil icon to begin editing.
4. Edit fields as indicated in the incoming online form.
5. Submit changes.
6. (Optional) Select Participants Database/List Participants to verify entry.
7. Email the following acknowledgment to the member:
Subject: PC Democratic Club Membership Record
Your membership record has been updated according to your instructions. Thank you for helping us keep our records current.
Pebble Creek Democratic Club
Delete member record
1. Select Participants Database/List Participant.
2. Locate record(s) to be deleted.
3. Click check box to the left of record(s) to be deleted.
4. Near top of list select “Delete” in dropdown menu.
5. Click on “Apply“.
Periodic List Management Tasks
Yearly on January 1
Update status of members with membership year < current year.
- Go to Dashboard / Participant Database / List Participants.
- Filter: Membership Year less than current year.
- For each, click on pencil icon and do the following:

- Change Payment Status to Overdue.
- Change Membership Status to Inactive.
- Click on “Update Fields“.
Yearly on October 1
Update default membership year for New Membership Request form to new membership year.
- Go to Dashboard / Participant Database / Manage Database Fields.
- Go to Administration Info Fields.
- Click on greater than symbol (>) on far left of Membership Year.
- Change Membership Year default value to current year + 1.
- Click on “Update Fields” button at bottom.
Change all active member’s Payment Status to Pending.
- Go to Dashboard / Participant Database / List Participants.
- Scroll to bottom and click on “Download CSV“.
- On your computer, open downloaded file in a spreadsheet app (Excel, Open Office, Numbers, Google Docs).
- Select Payment Status column.
- Go to Edit / Find and Replace (or equivalent in your spreadsheet app).
- Replace Paid with Pending for all in Payment Status column.
- Save file.
- Go to Dashboard / Participant Database / Import CSV File.
- Set Update Record with same ID.
- Choose file to upload.
- Select “Upload File“.
